Hereinafter you will find the information there is to know about the International Digital Security Forum (IDSF). Additionally, you will learn how your personal data collected from you in this regard is being processed in order to organize the IDSF (According to Article 13 General Data Protection Regulation).
Background of personal data processing and party responsible?
The International Digital Security Forum (IDSF) is organised by the AIT Austrian Institute of Technology (hereafter ‘AIT’) as the data protection responsible in cooperation with the Austrian Security and Defence Industries Group of the Austrian Federal Economic Chamber and the Competence Center Secure Austria (KSÖ) as well as with national and international partners. It is held with an idea of raising awareness and maintaining cooperation between a vast number of stakeholders. IDSF is created as a physical event and takes place in Vienna.
In order to sustain its neutrality, the IDSF organizers strive for equal and balanced representation of all participants.

Purpose and legal basis of the data processing
The primary purpose of data processing is to process the registration and IDSF and is carried out on the basis of the performance of a contract in accordance with Article 6(1)(b) of the GDPR.
In addition, the data is used to provide conference documents. This is also done on the basis of the performance of the contract in accordance with Art. 6/1 lit b GDPR.
The processing of your personal data, such as image, video and sound recordings, is carried out for the purpose of documenting and reporting on the IDSF conference and for presenting impressions of past events as part of the communication about future events on the basis of legitimate interests in accordance with Art. 6/1 lit f GDPR. If you do not wish to be filmed or photographed, please inform the organisers by email at idsf@ait.ac.at before the start of the event or inform the photographers or camera team on site.
The processing of your personal data, such as name, email address and telephone number, for the purpose of establishing contact with partner organisations of the IDSF to clarify possible cooperation and collaboration is based on your consent in accordance with Art. 6/1 lit a GDPR.
Type and recipient of personal data
At the event, AIT, WKO and KSÖ will be responsible for creating image, video and sound recordings for the purposes of documentation, follow-up reporting and future marketing of the event format. Also, conference sessions will remain available on the IDSF website as on demand content. The processing is carried out on the basis of the legitimate interests of AIT, WKO and KSÖ to produce truthful documentation or to provide up-to-date multimedia information about the event. The recordings made will be made available to all organizers, co-organizers and supporting partners of the event as well as to selected media companies for the purpose of follow-up reporting or marketing of the event format and to the public. Recordings will be stored until they are no longer needed for documentation or follow-up reporting or for announcing the next event format. If you do not wish to be photographed, please notify the organizers before the event starts, via e-mail: idsf@ait.ac.at, or inform the photographer or the camera team on site at any time.
For sending e-mails with IDSF-relevant information, provider “Mailjet” SAS / GmbH (Alt Moabit 2, 10557 Berlin, Germany) is used. Mailjet is ISO 27001 certified and subject to the GDPR . Therefore, some of your personal data (first name and surname, gender, title, email, company, country) will be transferred to Mailjet SAS / GmbH in order to carry out e-mail campaigns with regard to IDSF. This also applies, if you select the option for receiving the AIT newsletter from the Center for Digital Safety & Security during the registration process.
For the purpose of organizing the IDSF and if you consent to, some of your personal data (first name and surname, gender, title, email, position, company, country, address, telephone, photos and video recordings) will be processed. If you do not provide with “*” marked information during the registration process, you will not be able to attend the IDSF.
For the processing of the event registration and any payments, the event ticket provider Tickera (tickera.com) is used as processor. The USA may not have an adequate level of data protection. In order to protect your rights and freedoms standard contractual clauses have been signed with the concerned service providers and supplementary measures were adapted.
Transfer of data to a third country and legal basis for such a transfer
Your personal data will not be transferred to any other third parties or to any other third countries.

If AIT processes your personal data, you have the right of access to your personal data. In addition, you have the right to obtain the rectification or erasure of your data. Hintergrund der personenbezogenen Datenverarbeitung und Verantwortlicher
Das International Digital Security Forum (IDSF), wird vom AIT Austrian Institute of Technology (in der Folge “AIT”) als datenschutzrechtlich Verantwortlicher in Zusammenarbeit mit der ARGE Sicherheit und Wirtschaft der Wirtschaftskammer Österreich und dem Kompetenzzentrum Sicheres Österreich (KSÖ), sowie mit nationalen und internationalen Partner:innen organisiert und mit dem Ziel abgehalten, das Bewusstsein zu schärfen und die Zusammenarbeit zwischen einer Vielzahl von Stakeholdern zu pflegen. Das IDSF ist als physische Veranstaltung konzipiert und findet in Wien statt.

Zweck und Rechtsgrundlage der Datenverarbeitung
Die Verarbeitung zur Abwicklung der Anmeldung und der IDSF ist der primäre Grund der Datenverarbeitung und erfolgt auf Grundlage der Vertragserfüllung nach Art. 6/1 lit b GDPR.
Darüber hinaus werden die Daten zur Verfügungstellung von Konferenz-Unterlagen herangezogen. Dies erfolgt ebenfalls auf Grundlage der Vertragserfüllung nach Art. 6/1 lit b GDPR.
Die Verarbeitung Ihrer personenbezogenen Daten, wie Bild-, Video- und Tonaufnahmen, zur Dokumentation und Berichterstattung über die IDSF-Konferenz sowie zur Darstellung von Eindrücken vergangener Veranstaltungen im Rahmen der Kommunikation über zukünftige Events erfolgt auf Grundlage berechtigter Interessen nach Art. 6/1 lit f GDPR. Wenn Sie nicht fotografiert werden möchten, teilen Sie dies bitte den Organisator:innen vor Beginn der Veranstaltung per E-Mail unter idsf@ait.ac.at mit oder informieren Sie die Fotograf:innen oder das Kamerateam vor Ort.
Die Verarbeitung Ihrer personenbezogenen Daten, wie Name, E-Mailadresse und Telefonnummer, zum Zweck der Kontaktaufnahme zur Klärung möglicher Kooperationen und Zusammenarbeiten an Partnerorganisationen des IDSF erfolgt auf Grundlage Ihrer Einwilligung nach Art 6/1 lit a GDPR.
Art und Empfänger der personenbezogenen Daten
AIT, WKO und KSÖ werden während der Veranstaltung Bild-, Video- und Tonaufnahmen für die Dokumentation, Nachberichterstattung und zukünftige Vermarktung des Veranstaltungsformats erstellen. Außerdem werden die Panel Diskussionen und Talks auf der IDSF-Website als On-Demand-Inhalte verfügbar bleiben. Die Verarbeitung erfolgt auf der Grundlage der berechtigten Interessen von AIT, WKO und KSÖ eine wahrheitsgemäße Dokumentation zu erstellen bzw. aktuelle multimediale Informationen über die Veranstaltung bereitzustellen. Die erstellten Aufnahmen werden allen Veranstalter:innen, Mitveranstalter:innen und unterstützenden Partner:innen der Veranstaltung sowie ausgewählten Medienunternehmen zum Zwecke der Nachberichterstattung oder Vermarktung des Veranstaltungsformats und der Öffentlichkeit zur Verfügung gestellt. Die Aufnahmen werden so lange gespeichert, bis sie für die Dokumentation oder Nachberichterstattung bzw. Ankündigung es darauffolgenden Veranstaltungsformats nicht mehr benötigt werden. Wenn Sie nicht fotografiert werden möchten, teilen Sie dies bitte den Organisator:innen vor Beginn der Veranstaltung per E-Mail unter idsf@ait.ac.at mit oder informieren Sie die Fotograf:innen oder das Kamerateam vor Ort.
Für den Versand von E-Mails mit IDSF-relevanten Informationen wird der Provider “Mailjet” SAS / GmbH (Alt Moabit 2, 10557 Berlin, Deutschland) genutzt. Mailjet ist ISO 27001-zertifiziert und unterliegt der GDPR . Daher werden einige Ihrer persönlichen Daten (Vor- und Nachname, Geschlecht, Titel, E-Mail, Firma, Land) an Mailjet SAS übermittelt, um E-Mail-Kampagnen im Zusammenhang mit der IDSF durchführen zu können. Dies trifft auch zu, wenn Sie bei der Registrierung die Option zum Erhalt des AIT-Newsletters des Center for Digital Safety & Security wählen.
Zum Zweck der Organisation der IDSF werden einige personenbezogene Daten (Vor- und Nachname, Geschlecht, Titel, E-Mail, Position, Unternehmen, Land, Adresse, Telefon sowie Bild- und Videoaufnahmen) verarbeitet. Wenn Sie bei der Anmeldung keine mit “*” gekennzeichneten Angaben machen, können Sie nicht an der IDSF teilnehmen.
Für die Abwicklung der Veranstaltungsanmeldung und etwaiger Zahlungen wird der Veranstaltungsticket-Anbieter Tickera (tickera.com) als Auftragsverarbeiter genutzt. In den USA gibt es unter Umständen kein angemessenes Datenschutzniveau. Um Ihre Rechte und Freiheiten zu schützen, wurden mit den betreffenden Dienstleistern Standardvertragsklauseln unterzeichnet und zusätzliche Maßnahmen angepasst.
Datenübermittlung in ein Drittland und Rechtsgrundlage einer solchen Übermittlung
Ihre personenbezogenen Daten werden nicht an sonstige Dritte sowie auch nicht in Drittländer übermittelt.
Speicherdauer der personenbezogenen Daten
Alle Ihre persönlichen Daten werden bis zur nächsten IDSF verarbeitet.
Datenschutzrechte und Beschwerdemöglichkeit bei der Aufsichtsbehörde
Wenn das AIT Ihre personenbezogenen Daten verarbeitet, haben Sie das Recht auf Zugang dazu. Darüber hinaus haben Sie das Recht, die Berichtigung oder Löschung Ihrer Daten zu verlangen und die Einschränkung der Verarbeitung oder das Recht auf Übermittlung Ihrer Daten an einen anderen (für die Verarbeitung) Verantwortlichen gemäß den besonderen Bedingungen der Datenschutzverordnung zu verlangen. Des Weiteren können Sie der Verarbeitung Ihrer personenbezogenen Daten widersprechen und Ihre Einwilligung widerrufen. Der Widerruf der Einwilligung berührt nicht die Rechtmäßigkeit der aufgrund der Einwilligung erfolgten Verarbeitung vor deren Widerruf. Wenn Sie der Meinung sind, dass Ihre Daten unrechtmäßig verarbeitet werden, haben Sie das Recht, eine Beschwerde bei der Datenschutzbehörde (dsb.gv.at) einzureichen.
